Folder 10, Topic 4: My offshore students do not have VU ID numbers so can not access WebCT

Question

My offshore students do not yet have VU ID numbers and complain that they can not access WebCT. What can be done?

Answer

The way the system works is that that students without an ID are not yet (officially) enrolled. This can cause friction if offshore students have done everything required of them, but because of delays in communicating this to VU they are denied access.

You need to check with GOSA (Graduation and Offshore Student Administration) - the administrative section that co-ordinates the conferral of awards for VU students and enrolments for VU offshore students. I think their email is mailto:offshoreadmin@vu.edu.au

If there likely to be inordinate delays in processing students and granting them normal IT access including WebCT, you would need to request the creation of special WebCT authenticated accounts for these students.

From Folder 2: Topic 10:

In special circumstances, a WebCT administrator (ITS Helpdesk, Vyt Karazija or Lisa Curran can create a separate 'WebCT/Blackboard' authenticated account for students.

However, this is not only inadvisable, but contrary to preferred operating procedure. If those students do eventually get added to the VU system through normal channels, there will be duplicate WebCT accounts for them - and this can cause operational problems, inaccurate logging statistics, can impact on our WebCT licence conditions, and may possibly contribute to global warming ...

In summary, you can't add the non-VU student yourself. Please request an administrator to do this, be prepared to make a case for the addition of that person and to manage that person's accounts to minimise any double account problems.
